EXHIBITORS GUIDELINES

Participation Criteria

Exhibitors are asked to register in advance to be part of this event.

a) All products must be locally produced.

b) All products must be properly packaged and labeled and may be subject to the approval of the event organizer.

Booth Design & Maintenance

a) Each registered participant will be provided with a shaded booth space with 2 chairs per table

b) Tables must be properly covered with a table cloth

c) Each registered participant will be provided with a sign bearing the name of the booth unless the participant is already in possession of same

d) The products/services to be displayed should have a price list

e) Booth must be kept tidy at all times, and must not be left unattended

f) Booth attendant must be properly attired and must behave in a professional manner at all times.

Hours of the Exhibition

The hours of the exhibition are from 11:00 am to 6:00 pm. Set-up time is from 9am. However, booth attendants must be at their tables 30 minutes before the exhibition and must remain for the duration.

Exhibitors Meals

Exhibitors are responsible for their own meals.

Product Packaging

Exhibitors must ensure that products are properly wrapped or that proper bags are given to consumers. Only items listed for sale/promotion on the Registration Form will be allowed, so please be specific.

Washroom Facilities

Exhibitors will be allowed to utilize the washroom facilities within the Seamen and Waterfront Workers Union building during the hours of the exhibition.

Sales Generation

Patrons will pay exhibitors directly. The exhibitors are expected to retain all proceeds.

Use of Space

All exhibitors’ sales are limited to the space designated for each vendor/exhibitor. Exhibitors will not be permitted to walk around the event selling merchandise or services.

Security

The Royal Grenada Police Force will provide security and direct traffic for the

duration of the exhibition. Exhibitors should nonetheless exercise care and attention particularly with regard to cash and personal belongings. Every effort will be made to keep the Pedestrian Plaza secure. The Event Organizers will not be responsible for any theft, damage, etc that may occur during the Exhibition.

Garbage Disposal

Exhibitors are responsible for maintaining the cleanliness of their individual booths and leaving the vending area in the condition that it was originally received. Trash receptacles will be provided and placed in convenient areas for disposal in and around the Pedestrian Plaza.

Registration Fee

To participate in the exhibition, exhibitors will be required to pay a small exhibition fee of EC$20. This fee should be paid at GIDC prior to the event.

Responsibilities and Duties of Participants

a) All exhibitors participating in the Exposition must comply with all the Food Handling Regulations of the Ministry of Health and the Grenada Bureau of Standards for Food Service.

b) All stall/booth attendants must be properly attired and must behave in a professional manner at all times.

c) Sleeveless shirts, tanks or halter tops will not be permitted.

d) No bare hand contact is to be made with ready-to-eat foods; serving utensils and disposable gloves must be worn. Only single-service customer

utensils (forks, spoons, cups, plates, napkins) should be provided to patrons.

e) Participants must have clearly written signs in their booths/stalls. This includes: Company Name/Price lists

f) Participants must provide their own insurance coverage if necessary, in respect of all employees, volunteers, family members and anyone associated with their business, and shall indemnify the Event Organizers from any and all claims and liabilities that may occur, including all costs of defending same.

Responsibilities and Duties of the Event Organizers

The Event Organizers will supply:-

a) Tables and chairs for individual booths/stalls

b) Washroom facilities

c) Garbage receptacles.
